Who the App Is For
VA Pro AI is a private business tool for the owner and staff of VA Pro Group Solutions LLC. It is used to work leads, clients, projects, estimates and customer conversations while away from a desk. There is no way to create an account inside the app. Accounts are issued by the company owner, and access ends when the owner ends it. If you are a customer, you do not need this app: your project is handled through the phone, text messages and email described in our Privacy Policy.
Signing In
The app signs in with an email address and a password, verified by Google Firebase Authentication. An account may also require a six-digit code from an authenticator app. The app does not offer Sign in with Apple, Google, Facebook or any other third-party login, and it holds no credential of any other service.
After signing in, the app keeps a session record in the iOS Keychain: the sign-in tokens, and the name, email address, role and company of the person signed in. That record is stored device-only — it is not written to iCloud Keychain and does not travel to another device in a backup. Signing out deletes it.
What the App Keeps on the Device
Besides the session above, the app stores on the phone only: display preferences (theme, accent colour, message colours), the language chosen for voice input, whether the assistant resumes the last conversation, which list groups are folded shut, the notification device token described below, and a short technical record of the most recent failed request — the route, the HTTP status and an error code — which the support details on an error message read back.
No customer record, message, photograph or document is stored on the phone. The app holds no local database and no response cache; everything on screen is fetched over HTTPS when the screen is opened and is gone when it is closed.
What the App Sends, and Where
Business data travels only between the app and this company's own server, over HTTPS. Sign-in and token renewal go to Google Firebase Authentication. Push notifications are delivered by Apple. The app connects to no advertising network, no analytics service and no other third party.
Because the app is a working tool for our own business, the information sent through it includes our customers' names, telephone numbers, email addresses and property addresses, the descriptions and photographs of their projects, estimates and invoices, and the messages exchanged with them. That information belongs to VA Pro Group Solutions LLC and is handled as described in our Privacy Policy.
Permissions the App Asks For
Each of these is requested only at the moment it is used, and the app works without any of them.
Camera. To photograph work on site, and to scan a document with the built-in document scanner. Photographs and scans are attached to the job they belong to.
Photo library. To choose an existing photograph to attach. The app reads only the images chosen through the system picker; it does not browse the library.
Microphone and speech recognition. Only when the microphone button is pressed. Speech is converted to text so that a message can be dictated instead of typed, and the text appears in the box for review before anything is sent. Recording stops when the button is released.
Notifications. To say that a customer has written, that a lead has arrived, or that a prepared reply is ready. Notifications deliberately carry no customer name, telephone number or message text — only that something has arrived and which record it belongs to. The words themselves are read inside the app, behind the sign-in.
Notifications and the Device Token
To deliver a notification, Apple issues the app a device token, which the app registers with this company's server. It identifies the device, not the person, and it is used for nothing else. Signing out removes it from the server and from the phone. A token Apple reports as no longer valid — because the app was removed from the device — is retired automatically.
Automated Processing
The app includes an assistant that uses automated tools from Google (Google Cloud Vertex AI) to read and organise what arrives: to summarise a project, to suggest what to do next, and to draft a reply for the owner to review. The information processed this way can include a customer's name, telephone number, email address, property address, project description, photographs and previous messages. This processing takes place in the United States. Google acts as our service provider and does not use the information for its own purposes or to train its models.
No automated system sends a customer anything, and no automated system makes a decision about a project. Every message a customer receives is read and sent by a person, and every price is set by a person after seeing the work. Diagnostics
When something in the app fails, it reports the failure to this company's own server so that a broken screen is visible to somebody rather than only to the person holding the phone. A report contains the route that failed, the HTTP status, the category of the failure and the operating system version. It contains no request body, no sign-in token and no customer information. Apple may separately provide us with crash reports if you have chosen to share them with developers in iOS Settings; that choice is yours and is made outside this app.
Tracking and Advertising
The app does not track you. It contains no advertising identifier, no analytics software development kit, no marketing pixel and no third-party tracker of any kind. Nothing collected through the app is sold, and nothing is shared with anyone for advertising or marketing.
Security
Every request the app makes travels over HTTPS. Sign-in tokens are held in the iOS Keychain with device-only protection, so they are not readable by another app, are not synchronised to iCloud, and do not survive into another device's backup. Access to each company and site is decided by the server from the verified account, not by anything the app claims about itself. A signed-out or deactivated account loses access immediately.
Retention, Access and Deletion
Accounts are created and removed by the company owner; the app has no self-service registration and therefore no self-service account deletion. To have an account closed and the personal information associated with it removed, ask the owner, or contact us using the details below. Business records — leads, projects, estimates and communications — are retained as described in our Privacy Policy, because they are the company's records rather than the app user's.
If you are a customer and would like to know what we hold about you, or would like it corrected or deleted, please contact us. That right does not depend on this app.
Children
VA Pro AI is a tool for adults working for this company. It is not directed at children and we do not knowingly collect information from children through it.
Changes to This Policy
We may update this policy as the app changes. The date above identifies the current version, and the version in effect is always the one published at this address.
